Google Storage

Google has ended unlimited storage for Google Drives at NC State. In response, OIT has designed and started implementing a gradual reduction of allocated space for all faculty, staff, and students. COS IT is committed to assisting all users with the reduction of their occupied space within Google Drive, and constantly communicates with OIT as well as other IT units on campus regarding best practices and observations. Relevant information will be shared on this page.

Does This Affect Me?

Google storage is calculated based on everything stored within the Google Workspace: this includes email (including sent items and attachments), files in Google Drive, and photos in Google Photos. Defined quotas are as follows:

  • Faculty & staff – 100 GB
  • Students – 15 GB
  • Shared Drives – 15 GB per shared drive
  • Extension Only County Collaborators – 100 GB (UP08 [Unpaid])
  • Emeritus faculty – 100 GB (UP10 [Unpaid])
  • “Other” – 5 GB (all other UP classifications such as retirees, vendors)
  • Generic accounts – 5 GB

You can check your current consumption by clicking here.

Resources

If you do need to reduce your usage, there are several resources that can aid your efforts to offload your data.

  1. Users making use of Google’s file formats (Docs, Sheets/ Slides) and needing to remove these types of files from their Drive can convert them to a Microsoft format quite easily as part of the export process. Instructions can be found here.

  2. Researchers storing research data in their Google Drive may use research storage to offload their relevant data. Qualifying faculty may request up to 30TB of storage.

To learn more about research storage and request space, see OIT’s Research Storage site.
To transfer data from Google Drive to research storage, follow these instructions.

  3. A tool to inventory the contents of your Google Drive is available, which is helpful in identifying crucial data. Information on this tool can be found here.

  4. For those who wish to better understand the impact of this and guidance on how to proceed, please see OIT’s Google Workspace site.
